Job Summary:

As a crucial part of our team, you will be responsible for efficiently processing all release of information requests while ensuring accuracy and delivering outstanding customer service. This role emphasizes the importance of patient privacy, requiring compliance with HIPAA regulations and company policies.

Essential Functions:

  • Efficiently handle release of information requests, accurately retrieving and processing medical charts in accordance with established standards.

  • Organize and date stamp all requests, highlighting key information for smooth processing.

  • Validate requests and authorizations, ensuring compliance with established procedures.

  • Conduct quality checks to ensure accuracy, confidentiality, and proper invoicing.

  • Maintain all equipment in optimal condition.

  • Deliver exceptional customer service through attentiveness, respect, and proactive communication.

  • Manage incoming requests via mail, telephone, and fax as needed.

  • Uphold a professional appearance and adherence to the established dress code.

  • Keep a clean work area, ensuring records are stored properly before leaving.

  • Stay knowledgeable of state laws and fee structures related to medical record releases.

  • Embrace additional responsibilities and support during peak times.

  • Operate in accordance with client policies, HIPAA, and relevant state/federal regulations.

  • Protect confidentiality and uphold ethical standards with all information.

Qualifications:

  • High School Diploma or GED required.

  • Preferred: 2+ years in a medical records department or similar environment.

  • Proficient in Microsoft Word and Excel; strong computer skills are essential.

  • Excellent organizational skills are necessary.

  • Typing speed of 50 wpm is required.

  • Familiarity with fax, copier, and scanning equipment.

  • Willingness to learn new equipment and processes swiftly.

  • Self-motivated team player with proven customer satisfaction skills.

  • Ability to multitask effectively.
